When does the British Airways promotion close?

You can make bookings within your plan year and flight allowance up to Friday 13th December 2019.

Can I manage my booking on BA.com after Friday 13th December 2019?

Yes, you can reserve seat numbers, add luggage and exec club cards. You can also check-in online 24 hours prior to departure. Any changes required, please see Changes to Bookings section of these FAQ’s.

What happens if British Airways make a time change to the flights I am booked on?

If the change to your flight is 60 mins or less, you will receive an updated e-ticket. If the change to your flight 61 mins or more, you will receive and email of confirmation from Vitality Flights, for you to accept the change.

CHANGES TO BOOKINGS AFTER THE 13TH DECEMBER 2019

Can I change the name on my booking?

Name amendments on bookings will be allowed via British Airways up to a maximum of three characters, but all changes will incur a £40 charge per change. If you need to change the name on your booking you need to send a copy of your passport to vitalityflights@sodexo.com.

Changes involving more than three characters can’t be made and will require a new booking. The discount will not be applied to any additional costs incurred.

What happens if I have made my booking in my maiden name and my passport is in my married name?

You’ll need to send copy of your passport and a copy of your marriage certificate to vitalityflights@sodexo.com so that we can request British Airways to authorise the name change. There will be a £40 charge.

Can I change the itinerary of my booking?

Subject to the fare rules set by British Airways you can change your itinerary. Most British Airways economy fares in Europe carry a change fee of £60 to £150 per person (excluding infants), plus any increase in fare subject to availability on the day you wish to change to. Lower fares will note result in a refund. Vitality also charge a change fee of £40 per booking. Contact vitalityflights@sodexo.com with your request to change your itinerary.

Can I add an infant onto an existing booking?

Yes, once your infant is born as their date of birth is required. If the infant has already been added to your Vitality plan, then the discount will be applied to the infant fare and taxes. You’ll need to contact vitalityflights@sodexo.com to add the infant to your booking. If the infant is not on your Vitality plan, they can be added to the booking but won’t receive a discount. The infant fare is calculated as a percentage of the adult fare applicable on the day they are added to the booking.

Can I add an adult/child onto an existing booking?

No. All bookings will need to make their booking on BA.com or calling BA direct. No discount will be applied.

What if I need to cancel my flight?

Unless you’ve booked a flexible fare, fares are non-refundable. However, we can claim back the airport taxes which you have paid on your behalf. All cancellations must be confirmed in writing to vitalityflights@sodexo.com. The refund will be made to the original payment card.

Do I receive a discount on the cost to change my flight?

No, the discount is only applied to the original booking.

Can you book a flight passed your Vitality policy renewal date?

Members can make bookings for flight dates up until their current plan year’s renewal date.
